Privacy policy

Who this covers
- Business owners and crew who sign in to TheIntern.
- Customers of those businesses, whose details the business keeps in TheIntern. For that information we act on the business's behalf: the business decides what to store, and requests about it should go to the business first. We'll help them answer.
- Visitors to this website, including people who join the waitlist.
What we collect
Accounts
- Name and email address, from Google, Apple or email sign-in.
- Business name and city, and the people on your crew (name, phone, email for invites).
What a business keeps in the app
- Customer details: name, phone number, address, service schedule, price, payment method, and access notes such as gate codes. Access codes are encrypted at rest.
- Visits, moves and skips, job reports, notes and photos.
- Messages with customers. On Android, when you make TheIntern your texting app, texts with phone numbers that belong to your customers are copied to our servers so they appear in the customer's timeline. Texts with anyone else stay on your phone. On iPhone, only texts you add or send through TheIntern are stored.
- Voice notes and pictures customers text you, when they're part of a customer conversation.
- Contacts: if you import contacts, only the ones you choose are uploaded, as customers. We don't read your address book otherwise.
- In-app messages between the owner and crew, including customer messages the owner shares with crew.
Billing
- If you subscribe, Stripe collects your card. We never see or store card numbers; we keep the subscription status Stripe reports.
Usage and devices
- Server logs (time, request, IP address) to keep the service running and secure.
- On Android, product analytics events (which screens and features are used) through PostHog.
- We don't collect your location.
Waitlist
- Your email, your phone type, and your business name if you give it. Used only to tell you when the app is ready.
How we use it
- To provide TheIntern: show schedules, draft texts for you to review, route your crew, and keep records.
- To send account email such as sign-in links, invites and billing notices.
- To bill subscriptions.
- To secure the service, fix problems, and improve the product.
- To meet legal obligations.
AI summaries. When an owner asks for a summary of a customer conversation to share with crew, the selected messages are sent to OpenAI to write it. This only happens when the owner asks, and the owner reviews the summary before anyone sees it. OpenAI does not use data sent through its API to train its models, and may keep it for up to 30 days for abuse monitoring. TheIntern never uses AI to write texts to customers.
Who processes data for us
We use these service providers, each only for the job listed:
- Vercel — hosting and file storage (photos, voice notes)
- Neon — database
- Supabase and Google (and Apple, when enabled) — sign-in
- Stripe — payments
- Telnyx — the optional business phone number
- Resend — account email
- OpenAI — crew summaries, only when the owner asks
- PostHog — app analytics (Android)
- U.S. Census Bureau Geocoder — turning service addresses into map points for routes
Data is stored in the United States. We may also disclose information if the law requires it, to protect people's safety, or as part of a sale or merger of the business (with this policy still applying).
How long we keep it
We keep a business's data while its account is open. When an account is deleted, its data is deleted right away (stored files may take a few days), except where the law requires us to keep records (such as billing, which Stripe keeps). Backups roll off within a further 30 days. Waitlist entries are deleted once we've told you the app is ready, or sooner if you ask.
Your choices and rights
- You can see and edit most of your data in the app.
- You can download a copy of the data you entered (Settings → Download your data, in the app or on this website's Account page) and delete your account yourself. See Delete your account. For a correction or anything else, email support@nimbus-nova.com.
- California residents have rights under the California Consumer Privacy Act, including the right to know, delete and correct personal information, and not to be discriminated against for using them. We don't sell or share personal information for advertising.
- You can turn off Android notifications, and stop text syncing by choosing another texting app.
Security
Data travels over encrypted connections, sensitive fields such as gate codes are encrypted at rest, and every business's data is kept separate. No system is perfectly secure; if something goes wrong we'll tell affected users as the law requires.
Children
TheIntern is a business tool and isn't meant for children under 16. We don't knowingly collect their information.
Changes
If we change this policy in a meaningful way, we'll update the date above and tell account holders in the app or by email.
